Configuring Rules
Administrators can customize VaultAP's risk rules to match their organization's risk profile. You can adjust rule weights, enable or disable individual rules, and preview how changes would affect historical invoices before committing.
Only administrators can access rule configuration. Reviewers and viewers can see active rules and their weights but cannot make changes.
Adjusting Rule Weights
Navigate to rule settings
Go to Settings > Risk Scoring > Rules. You will see a list of all available rules with their current weights and enabled status.
Edit a weight
Click on the weight value next to any rule to edit it. Enter a new numeric value between 0 and 100.
Repeat as needed
Adjust as many rules as you like. Changes are staged but not yet active.
Setting a weight to 0 means the rule will still fire for audit logging, but it will not contribute to the risk score.
Enabling and Disabling Rules
Each rule has a toggle switch in the rules list. Disabling a rule means it will not be evaluated at all — it will not fire, will not appear in audit logs, and will not contribute to the score.
Disabling the BANK_CHANGE rule is strongly discouraged. Bank detail changes are a primary vector for invoice fraud. If you disable this rule, bank changes will pass through without any flag.
Preview Impact
Before saving changes, use the Preview Impact feature to understand how your modifications would affect historical data.
Click Preview Impact
After staging your weight or enablement changes, click the Preview Impact button at the top of the rules page.
Review the simulation
VaultAP re-scores your historical invoices using the proposed rule configuration. The preview shows:
- How many invoices would change routing (e.g., moved from auto-clear to review).
- The distribution of scores under the new configuration.
- A side-by-side comparison of current vs. proposed scores for the most affected invoices.
Decide whether to proceed
If the preview looks acceptable, proceed to save. If not, go back and adjust further.
The preview uses your last 500 invoices (or all invoices if fewer than 500 exist). It does not modify any actual scores or routing — it is a read-only simulation.
Saving Changes
Click Save Configuration
Once you are satisfied with your changes and the preview results, click Save Configuration.
Confirm
A confirmation dialog summarizes all changes. Review and click Confirm.
Changes take effect
New rule weights and enablement settings apply immediately to all incoming invoices. Previously scored invoices are not retroactively re-scored.
Best Practices
- Make incremental changes. Adjust one or two rules at a time so you can observe the effect.
- Use Preview Impact every time. Even small weight changes can shift a meaningful number of invoices between routing buckets.
- Document your rationale. The configuration change log (visible under Settings > Risk Scoring > Change History) records who made each change and when, but adding a note helps future administrators understand why.
- Revisit periodically. As your vendor base and invoice patterns evolve, rules that were once well-tuned may need adjustment.
