Dashboard Metrics

VaultAP tracks several key performance indicators that help you understand how well your fraud detection is working and where adjustments may be needed.

Metric Definitions

Total Invoices Processed

The total number of invoices that have completed the full scoring pipeline — OCR extraction, risk scoring, and either auto-clearing or routing to the review queue. Invoices still being processed are not included.

Catch Rate

The percentage of invoices that were flagged for manual review rather than auto-cleared.

Catch Rate = (Flagged Invoices / Total Invoices Processed) x 100

A catch rate that is too high suggests your auto-clear threshold may be too aggressive, creating unnecessary work for reviewers. A catch rate that is too low may mean legitimate risks are slipping through.

Most organizations aim for a catch rate between 5% and 15%. If yours falls outside that range, consider adjusting your risk thresholds in Settings > Risk Configuration.

False Positive Rate

The percentage of flagged invoices that reviewers ultimately approved (meaning the flag was a false alarm).

False Positive Rate = (Flagged & Approved / Total Flagged) x 100

Tracking this over time tells you whether VaultAP's scoring is becoming more precise. A declining false positive rate means your reviewers are spending less time on invoices that turn out to be legitimate.

Average Risk Score

The arithmetic mean of risk scores across all processed invoices in the selected time period. This number gives you a broad sense of the risk profile of your incoming invoices.

  • Low average (0--25): Your invoice stream is generally clean.
  • Medium average (26--50): Some elevated risk signals are present; review your top flagged vendors.
  • High average (51+): Unusual — investigate whether a specific vendor or rule is driving scores up.

Auto-Cleared Percentage

The percentage of invoices that scored below your auto-clear threshold and were approved automatically without human review.

Auto-Cleared % = (Auto-Cleared Invoices / Total Invoices Processed) x 100

This metric directly reflects how much manual work VaultAP is saving your team. Higher is better, as long as your false negative rate stays low.

Average Processing Time

The average wall-clock time from invoice receipt to final disposition (auto-cleared or reviewer decision). This includes:

  1. OCR extraction time
  2. Risk scoring time
  3. Queue wait time (for flagged invoices)
  4. Reviewer decision time (for flagged invoices)

If average processing time is climbing, check the review queue. A backlog of unreviewed invoices is usually the cause, not the scoring pipeline itself.

Time Period Filters

All dashboard metrics support time-period filtering. Use the selector in the top-right corner of the dashboard to choose:

When you change the time period, all metric cards, charts, and the activity feed update to reflect the selected range.

Custom date ranges are limited to a maximum span of 365 days. For longer historical analysis, use the Reports page to export data as CSV.
