Notification Settings
VaultAP can notify your team through multiple channels when important events occur. Configure which events trigger notifications and where they are delivered.
Event Types
The following events can trigger notifications:

| High-alert invoice | An invoice scores at or above the high-alert threshold |
| Bank detail change | A vendor's bank account information is updated |
| New vendor detected | An invoice arrives from a vendor not previously seen |
| Invoice escalated | A reviewer escalates an invoice for a second opinion |
| Review overdue | A flagged invoice has been in the queue longer than 24 hours |
| Export ready | A requested data export has finished generating |
Each event type can be independently enabled or disabled for each notification channel.
Email Notifications
Email notifications are sent to the individual user's email address. Each user can control their own email notification preferences from their profile settings, but Admins set the organization-wide defaults.
High-alert invoice and bank detail change notifications are enabled by default for all Reviewers and Admins. We strongly recommend keeping these enabled.
Email notifications include:
- A summary of the event
- A direct link to the relevant invoice, vendor, or setting
- The risk score (for invoice-related events)
- The timestamp in your organization's configured timezone
Slack Integration
Connect VaultAP to your Slack workspace to receive notifications in a channel of your choice.
Create a Slack webhook
In your Slack workspace, create an incoming webhook URL. See Slack's documentation for instructions.
Enter the webhook URL
Paste the webhook URL into the Slack Webhook URL field in VaultAP notification settings.
Select a channel
Specify the Slack channel where notifications should be posted (e.g., #ap-alerts).
Choose event types
Enable the specific event types you want sent to Slack. You do not have to mirror your email notification settings — many teams send only high-alert and bank-change events to Slack.
Test the connection
Click Send Test Message to verify VaultAP can reach your Slack channel. A confirmation message will appear in the channel.
If your Slack webhook URL is rotated or revoked, Slack notifications will silently fail. VaultAP displays a warning banner on the Notification Settings page if the last delivery attempt failed.
In-App Notifications
In-app notifications appear as a badge on the bell icon in the VaultAP navigation bar. Clicking the icon opens a notification panel with a list of recent events.
In-app notifications are always enabled for high-alert invoices and cannot be turned off. For other event types, users can toggle in-app notifications from their profile settings.
Unread notifications are retained for 30 days, after which they are automatically dismissed.
Per-User Overrides
While Admins configure the organization-wide defaults, individual users can override notification preferences for their own account from Profile > Notifications. User-level overrides apply only to email and in-app channels. Slack notifications are organization-wide and cannot be overridden per user.
