Risk Configuration

Risk Configuration controls how VaultAP assigns risk scores to invoices and determines which invoices require human review. Fine-tuning these settings lets you balance fraud detection sensitivity against reviewer workload.

Thresholds

VaultAP uses two thresholds to route invoices through your workflow:

Auto-Clear Threshold

Invoices scoring at or below this threshold are automatically cleared and marked as safe — no reviewer action needed. The default is 30.

High-Alert Threshold

Invoices scoring at or above this threshold are flagged as high-risk and appear in the Needs Attention panel on the dashboard. The default is 70.

Invoices scoring between the two thresholds land in the standard review queue.

Lowering the auto-clear threshold means fewer invoices are auto-cleared and more go to reviewers. Raising the high-alert threshold means fewer invoices trigger urgent notifications. Adjust both together to find the right balance for your organization.

Scoring Modes

Manual Mode

In manual mode, each risk rule has a fixed weight that you configure. The total risk score is the sum of all triggered rule weights, capped at 100. This gives you full control and predictability.

Dynamic Mode

In dynamic mode, VaultAP automatically adjusts rule weights based on historical patterns in your invoice data. Rules that have historically been strong predictors of confirmed fraud receive higher weights, while rules with high false-positive rates are down-weighted.

Dynamic mode requires at least 200 reviewed invoices (with approve/reject decisions) before it can produce meaningful adjustments. Until that threshold is reached, it behaves identically to manual mode.

To switch modes, select the desired mode and click Save. The change applies to all future invoice scoring immediately.

Adjusting Rule Weights

In manual mode, you can adjust the weight of each individual risk rule. The rules page displays:

Use the slider or input field next to each rule to change its weight. Weights must be between 0 (disabled) and 100.

Setting a rule's weight to 0 effectively disables it without removing it. You can re-enable it at any time.

Preview Impact

Before saving changes, use the Preview Impact tool to understand how your adjustments would affect recent invoices. The preview shows:

  • How many invoices would change from auto-cleared to flagged (and vice versa)
  • The shift in average risk score
  • A before/after comparison of the risk score distribution chart

Make your changes

Adjust thresholds, mode, or rule weights as desired.

Click Preview Impact

VaultAP re-scores the last 30 days of invoices using your proposed configuration without actually changing any records.

Review the results

Examine the before/after comparison. Pay close attention to the number of invoices that would shift categories.

Save or discard

If the results look right, click Save Changes. Otherwise, click Discard to revert to the current configuration.

Saving Changes

When you click Save Changes, the new configuration applies to all invoices scored from that point forward. Previously scored invoices are not re-scored.

Risk configuration changes are recorded in the audit trail, including who made the change and the before/after values. This ensures full accountability for scoring policy decisions.
